Supplier onboarding

From access request to first payout

What happens at each stage, what the team checks before buyers see your listings, and what to have ready for your onboarding call.

A 23-second look at the supplier side of the platform.

The lifecycle

Eight stages from first contact to first payout

Your onboarding call happens between verification and your first listings. The team sets things up with you, then confirms each go-live check before buyers can see your stock.

  1. 01

    Request access

Fill in the access form with your company details, ABN and what you supply. Choose Supplier, or Both if you also buy. Free to apply, no subscription.

    You · ~5 min

  2. 02

    Verification

The team checks your ABN is active and matches your company, that you trade wholesale in bulk meat, poultry or seafood, and that there is a contact who can act on the account.

    Protein Link · Team review

  3. 03

    Register & secure

Open the invite link, confirm your details and set a strong password. Then turn on two-factor sign-in under Settings → Security. One person, one login: the team adds extra users for you.

    You · ~10 min

  4. 04

    Company profile & pickup lane

Enter the dock where trucks collect, plus dock height, forklift and site notes. The team runs a live freight quote to confirm a real refrigerated rate on your lane before you go live.

You + Protein Link · Same day

  5. 05

    Payout setup

Settings → Payouts opens Stripe Connect. Stripe verifies your business and a director or owner's ID, and you nominate the bank account to be paid. Protein Link never sees your bank login.

    You · 10–15 min

  6. 06

    First listings

Add lots one at a time, or upload your whole stock list as a CSV. The upload preview checks every row and flags problems before anything goes live. The team reviews your first listings with you.

    You + Protein Link · ~30 min

  7. 07

    Trade

Order requests arrive by dashboard alert and email, showing your base-price totals. Accept and the order is created and freight is quoted; you book nothing. Aim to reply the same business day.

    You · Daily

  8. 08

    Get paid

The buyer pays before anything ships. Once the payment is verified, your share transfers to your Stripe account for that order, and Stripe pays your bank on its payout schedule. No invoice to send, none to chase.

    Automatic · Per order

Before your call

Have these ready

Gathered once, these let you finish the whole setup, from account to first listings, in one session.

Details & documents

  • ABN and company name, as they appear on the register
  • Main contact: name, role, mobile and email
  • Pickup address, plus dock and access notes
  • Storage you have: ambient, chiller, frozen
  • What you'll list, how much and how often
  • Bank account for payouts: BSB and account number
  • Director or owner ID (driver licence or passport) for Stripe's checks
  • Food safety licence and certificate numbers, if you have them

Decisions to make

  • Who runs the account: settings, users and pricing
  • Who accepts order requests day to day, and their backup
  • Who keeps listings and stock levels up to date
  • How you'll price: base price per kg, ex GST
  • Pickup windows and order cut-off times your dock can meet

Listing standard

Six rules for a catalogue that trades

Buyers compare listings field by field. The first four also drive freight, so the upload preview checks them.

Storage state on every lot

Chilled or frozen picks the truck. A lot without one can't be quoted for freight or go live.

Accurate unit weights

Carton weights feed the freight quote and the buyer's comparison. Weights that drift cause disputes.

Whole-cent pricing, ex GST

Base price per kg in dollars and cents. All platform pricing is ex GST.

Availability you can honour

List volume you can ship and delist what you can't. A declined request costs more than a missing listing.

Short-dated stock flagged

State use-by or best-before dates up front. Dated stock sells when the dates are clear.

Specification detail

Grade, marbling, brand and plant number where they apply: the fields buyers filter and decide on.

How pricing and privacy work

You set the base price

You price per kg, ex GST. The platform adds its margin to show buyers one price per listing. Buyers never see your base price, and there are no listing fees at launch.

What you receive

Your base price for the lots on the order: the amount you accepted. It is calculated on the platform’s servers and locked when the order confirms. Freight is the buyer’s cost, paid to the carrier, not taken from your share.

Names stay hidden until it counts

Buyers see you as “Verified Supplier” and your location as suburb and state. You see “Verified Buyer” until they pay and freight is booked; then the delivery label, opened from the order screen, carries their details.

Go-live checks

You go live when seven checks pass

Nobody skips one, not even to close a deal faster. If one blocks, onboarding pauses with that check named, and the team fixes it with you.

  1. G1

    Verification

ABN and company checks complete and approved.

  2. G2

    Payouts

Stripe account live with both charges and payouts enabled.

  3. G3

    Pickup lane

Address checked; a live quote returns a real refrigerated rate on your lane.

  4. G4

    Catalogue

First listings live and to standard: storage state, unit weights, clean pricing, current stock.

  5. G5

    Privacy briefing

You know what buyers see, when names are released, and why that protects you.

  6. G6

    Operating expectations

Listing and reply targets agreed; support contacts swapped both ways.

  7. G7

    First order

A practice run in test mode, or the team watches your first live order start to finish.
