Buyer onboarding

From access request to first delivery

What happens at each stage, what the team checks before you go live, and what to have ready for your onboarding call.

A 25-second look at the buyer side of the platform.

The lifecycle

Eight stages from first contact to first delivery

Your onboarding call happens between verification and finding stock. The team sets things up with you, then confirms each go-live check before your first order.

  1. 01

    Request access

Fill in the access form with your company details, ABN and what you buy. Choose Buyer, or Both if you also supply. Free to apply, no subscription.

    You · ~5 min

  2. 02

    Verification

The team checks your ABN is active and matches your company, that you buy wholesale, and that there is a contact who can act on the account. Approval comes first, so your invite means you are already in.

    Protein Link · Team review

  3. 03

    Register & secure

Open the invite link, confirm your details and set a strong password. Then turn on two-factor sign-in under Settings → Security. One person, one login: the team adds extra users for you.

    You · ~10 min

  4. 04

    Delivery details

Enter the address where trucks unload, plus dock, forklift and receiving-hour notes. The team confirms refrigerated freight can reach your site before your first order.

You + Protein Link · Same day

  5. 05

    Find stock

Every listing reads the same way: product, storage state, volume, origin and one price per kg, ex GST. Filter by category, storage, location and price, and save searches to get an email when matching stock lists.

    You · ~15 min

  6. 06

    Order requests

Request from a listing or build a cart. A cart splits into one request per supplier, because each ships from its own dock. Suppliers aim to reply the same business day. A declined or expired request costs nothing.

    You · As needed

  7. 07

    Pay & track

Once a supplier accepts, refrigerated freight is quoted and confirmed. You see product and freight together before you pay, then pay that order through Stripe. Freight books after payment and you track it from the order screen.

You + Protein Link · Per order

  8. 08

    Receive & reorder

Check temperature, count and condition at the door. Specs, prices, payments and documents stay on every order for your team, and reordering from history takes minutes.

    You · Ongoing

Before your call

Have these ready

Gathered once, these let you finish the whole setup, from account to first order, in one session.

Details & documents

  • ABN and company name, as they appear on the register
  • Main contact: name, role, mobile and email
  • Delivery address, plus dock and access notes
  • Receiving hours and any site rules for drivers
  • Cold storage on site: chiller, freezer or both
  • What you buy, how much and how often
  • The card your business pays with (payments run through Stripe)

Decisions to make

  • Who runs the account: settings and users
  • Who places orders day to day, and their backup
  • Who checks goods at the door
  • Your order cut-off times and delivery windows
  • What to source first: the products worth testing in week one

What to expect, both ways

The full cost before you pay

Listings show one price per kg, ex GST. Once a supplier accepts, freight is quoted and confirmed, and the order’s product and freight show together before any charge. A freight quote older than two hours refreshes first.

Your identity stays private

Suppliers see you as “Verified Buyer” and your location as suburb and state. Your name and delivery address reach one supplier only, on the delivery label, after you pay their order and freight is booked.

What the platform asks of you

Keep delivery details accurate, only request stock you intend to pay for, have someone at the dock in the window, and report problems from the order screen, with photos, as soon as you find them.

Go-live checks

You go live when seven checks pass

If one blocks, onboarding pauses with that check named, and the team fixes it with you.

  1. G1

    Coverage

What you buy maps to live suppliers with refrigerated freight to your address.

  2. G2

  3. G3

    Delivery address

Address checked; receiving confirmed for refrigerated trucks: cold storage, hours and access.

  4. G4

You know what suppliers see, when your details are released, and why that protects you.

  5. G5

    Payment expectations

You know the full cost, product plus confirmed freight, shows before you pay, and each supplier order is paid on its own.

  6. G6

    First order

Guided if you want it. The team watches it end to end.

  7. G7

    Follow-up

The team checks in within 48 hours of your first delivery.
